The Vault is your formal record area. Everything that is "in your collection" lives here. It is the foundation for finances, badges, sharing, and sales.
Vault list
Open Vault from the sidebar or bottom tab. You can switch between Grid (visual scan) and List (sequential reading) views from the toolbar. The filter bar above the list lets you narrow by status, maker, or channel tag.
Create a record
- Open Vault and select Add Item, or use the Command Palette and type add.
- Fill in the basic fields: name, maker, and any identifiers you know.
- Set a status that reflects where the item is in its lifecycle.
- Add financial fields as they apply — deposit, balance, shipping, taxes, and other fees.
- Upload images. The first image is the record's cover.
- Save.
You can edit any field later. Records can be duplicated when you buy the same item twice.
Item status flow
Status is ordered, not a free-form tag. Each value represents a real stage in the item's life and drives reminders, finances, and sharing eligibility.

| In Production | Maker has confirmed production; payment may be due |
| Invoice Due | A balance is due now and triggers payment reminders |
| In Transit | Item is on the way to you |
| In Collection | Item has arrived and is part of your collection |
| For Sale | You are preparing to sell the item |
| Sold / Cancelled | Item has left your collection |
Pick the most accurate status whenever you update a record. Automatic features depend on it.
Edit a record
From any record detail page, tap Edit to open the edit view. All fields except images are editable there. To manage images, use the dedicated image panel described below.
Manage images
The image panel in each record lets you add, reorder, replace, and remove photos. The first image is always the record's cover.
Advanced Vault features
These features unlock at higher plans. They are powerful but optional — you can manage a collection fully on the FREE plan.
- Condition Checks (PLUS or above) — log inspections and condition history per record.
- Care Reminders (PLUS or above) — schedule reminders for cleaning, resealing, or rotating display items.
- Channel Tags (PLUS or above) — add your own tags (e.g., pre-owned, grey market) for filtering.
- Price Insight (PRO or above) — see a statistical reference range for similar items. This is a reference, not a valuation.
- Batch Operations (MAX) — edit multiple records at once.
Delete a record
Deleting a record is permanent. Collectorlog asks for confirmation and explains what else will be removed (images, linked reminders). If you just want to stop tracking an item, consider changing its status to Sold / Cancelled instead.
